As a pivotal member of our Programs team, the Assistant Director, Programs will contribute significantly to the development and execution of various leadership initiatives.
Position Overview
In this role, you will collaborate closely with the Director of Leadership Development Programs to provide essential support for our various initiatives. We are seeking an individual who possesses an entrepreneurial mindset, a fervor for community engagement, and a commitment to fostering inclusive environments that resonate with diverse backgrounds.
Key Responsibilities
Program Support (60%):
- Lead and facilitate meetings and events for groups of various sizes (ranging from 4 to over 100 participants).
- Oversee all logistical aspects of programs, including the application process, outreach, marketing, and communication with participants in coordination with the communications team.
- Enhance and support program curricula while participating in the creation of new initiatives and exploring innovative events and speakers.
- Gather and manage program data to promote continuous improvement, ensuring diverse perspectives and educational goals are prioritized.
Administration (25%):
- Maintain thorough documentation of program activities, progress, and evaluations, assisting with planning documents such as briefings and presentations.
- Work collaboratively with team members to design and implement new processes aimed at enhancing operational efficiency, utilizing tools such as Salesforce and SurveyMonkey Apply.
- Draft, edit, and proofread a variety of written materials with precision.
- Assist in the planning of both virtual and in-person events, including travel arrangements.
- Manage billing and invoicing responsibilities.
Other Responsibilities (15%):
- Conduct outreach to relevant community stakeholders and foster strategic partnerships with youth organizations, campus leaders, and community programs.
- Employ effective problem-solving skills to ensure timely completion of tasks and maintain efficient processes.
- Supervise seasonal interns and program staff.
- Undertake additional tasks as assigned.
Required Skills
- Ability to maintain a comprehensive view while also focusing on essential details.
- Demonstrated self-motivation with outstanding organizational abilities and a strong attention to detail.
- Familiarity with budgeting and experience in budget oversight is preferred.
- Proven experience in project management, program planning, and execution; exceptional presentation and facilitation skills, both in-person and virtually.
- Excellent written and verbal communication capabilities, complemented by a proactive problem-solving approach.
- Strong interpersonal skills with a history of building relationships with a variety of stakeholders, including participants, staff, board members, and external partners.
- Minimum of five years of relevant experience working with youth in educational or leadership contexts.
- Understanding of the non-partisan civic landscape, with the ability to engage individuals in our mission.
- Proficient in Microsoft and Google applications, familiar with CRM systems (Salesforce preferred), as well as application platforms such as Typeform and SurveyMonkey Apply, and digital communication tools like Zoom and Slack.
- A Bachelor's degree is preferred.
